How to Perform Mass Updates in Sage Enterprise Management (Sage X3)

Have you found yourself in a situation where you need to change many records in your database at the same time? Perhaps you hired a new salesperson and you need to assign several customers to them, or a new territory opens up and you need to re-align more than one customer to that territory. These are scenarios where a “mass update” utility can really help. Think of a mass update as a graphical interface to run a SQL query that will update the database based on WHERE clauses. So, for example, you can retrieve all customers WHERE the STATE = FL, GA, AL, MS, and NC and change the TERRITORY field for all these customers to “Southeast U.S.” The above is just an example; the possibilities are endless. The beauty of a mass update utility is that a user doesn’t have to be “technical” or know SQL. The idea is that you’re simply using the formula wizard to build your conditions. This utility is a real time saver because the alternative would be to either make the change manually,...

Managing Conditional Formatting in Sage Enterprise Management (Sage X3)

Often, when our prospects are  evaluating Sage Enterprise Management (Sage X3)  and trying to differentiate it from other competing products, they’re very impressed with the level of personalization and flexibility that comes inherent with the product. You can think of conditional formatting as automatic formatting that’s triggered by conditions you define. For example, you can use conditional formatting to automatically change the color of cells that contain values greater than or less than certain values. Conditional formatting is a great way to visually highlight important information and, as part of our demonstrations, we’re frequently asked to show how Sage Enterprise Management can color code certain fields based on a set of business rules. While prospects are typically impressed at Enterprise Management’s ability to do this, we find that they rarely take advantage of it once the system is implemented. The intention of this blog is to remind our clients and t...

Search Index Management in Sage Enterprise Management (Sage X3)

One of the great new features  Sage Enterprise Management (Sage X3)  introduced with Version 7 is the search function that allows you to look through your data and find relevant information. Think of this as your search engine inside of Enterprise Management – Sage Enterprise Management’s very own Google, if you will. Here's how to use search index management in Sage Enterprise Management. To enable this search box, you need to go to the administration module and locate the Search Index Management function under usage. Once in the function, you’ll select the folder you want to search and select the ‘entities’ you want to be able to search. An entity is a function or object you can index. For example, it might make sense for you to look at the PO entity but not the one for the zip codes. The first time you do this, it makes sense to check the “delete index before update” checkmark. Then click “update index” and finally, schedule...

How to Use SSL in Sage Enterprise Management (Sage X3)

Many companies that  use Sage Enterprise Management (Sage X3)  choose to have their Syracuse Web Server exposed to the internet for ease of access – no VPNs or remote desktop services to use – but making the connection open to the public internet exposes your web server/data to attack. Security is a necessity, as organizations need to keep their data private and secure. Using an SSL (secure socket layer) connection with a certificate from a trusted Certificate Authority protects the confidentiality and integrity of company data exchanged online. SSL is the standard security technology for establishing an encrypted link between a web server and a browser; this encrypted link will ensure that the data exchanged between the user and the web server is transmitted securely and remains private. Any Sage Enterprise Management exposed to the public internet should use SSL to secure its connection with the users and protect company data. Below are instructions on how to use SS...

Personalizing General Parameters in Sage Enterprise Management (Sage X3)

Did you know there’s a function in  Sage Enterprise Management (Sage X3)  that gives you access to all user-centric parameter values? As a reminder, parameter values are parameters that can be managed at multiple levels (folder, legislation, company, user) that are driving the behavior of the application. For example, depending on parameter values, users will see a default entry transaction screen in the journal entry function. Some other behavioral changes will be related to how the system uses default journal codes when running through end-of-month processes. Here's how to go about personalizing general parameters in Sage Enterprise Management.   Instead of having all user levels’ parameters maintained by the system administrators at the folder level, there’s a function that allows users to change and modify some of those values based on their preferences. One of the great things about these parameter values is that the selected ones are ve...

Calculation Capacity Exceeded Error in Sage Enterprise Management (Sage X3)

Sometimes, in  Sage Enterprise Management (Sage X3) , the error “Calculation capacity exceeded” appears in a function where a customization was added.  The error message is not descriptive, but analyzing the subsequent error messages makes it possible to identify the line of code causing the problem. Here's what you do when you see the calculation capacity exceeded error in Sage Enterprise Management. Background When we first saw this error, we thought the calculation-capacity-exceeded error was a memory issue in the folder setup, but there was enough free memory available for the Enterprise Management session. We then thought it was a data issue, such as incorrect characters, but after running different SQL scripts, we couldn’t identify any unexpected characters. Finally, we realized it was a data conversion problem. We were also initially confused because the customization worked fine for almost a year; after finding the cause of the problem, we can tell ...

Auditing Fields in Sage Enterprise Management (Sage X3)

Have you ever needed to know the previous value of a field or who changed it and when? When people ask us how to do this, we’re often unable to offer answers – unless we’re talking about Sage Enterprise Management (Sage X3), which can be configured to provide this information without any customization. There are two types of audits in Enterprise Management: A record audit, which tracks the creation, modification, and/or deletion of an entire line in a table A field audit, which tracks the before and after values of a field every time it’s modified Use the following steps for auditing fields in Sage Enterprise Management: Identify the table and the fields you want to audit. We recommend tracking only the fields that are critical to your business because this process adds overhead to the normal function processing. In our scenario, the sales representative field name is REP and is stored on table SORDER. Add the fields to the Au...
